Customer booking service terms and conditions documentThese service terms and conditions set out the basis on which our services are provided in the United Kingdom. By making a booking, confirming an order, or accepting a quotation, you agree to be bound by these terms. They are designed to be clear, fair, and practical for both parties, and they apply to all standard service bookings unless a separate written agreement states otherwise.

In these terms and conditions for services, references to “we”, “us”, and “our” mean the service provider, and references to “you” and “your” mean the customer or business receiving the service. The wording below should be read carefully before any booking is placed, as it explains how bookings are made, how payment is handled, when cancellations may apply, and how liability is limited.

Booking process

All bookings are subject to availability and acceptance by us. A booking may be requested by phone, email, online form, or any other approved method. A booking is only confirmed once we have accepted it and, where required, received any deposit, booking fee, or advance payment. Until confirmation is issued, no obligation exists on either side to proceed.

When submitting a request for services, you must provide accurate and complete information, including the type of service required, access arrangements, any relevant site details, and any known risks or restrictions. If any details change before the service date, you must notify us promptly. We may refuse or reschedule a booking if we determine that the requested service is unsuitable, unsafe, or materially different from the information originally provided.

We may issue a quotation, estimate, or proposed service plan before confirmation. Unless expressly stated otherwise, quotations are valid only for the period specified in them or, if no period is stated, for a reasonable time. Quotes are based on the information available at the time and may change if the scope of work, access conditions, labour requirements, materials, or disposal needs differ from what was originally described.

Service cancellation and scheduling policy informationWhere a booking is made for a specific date or time, we will use reasonable efforts to attend as scheduled. However, any timing provided is approximate unless we have agreed a fixed appointment in writing. Delays may occur due to traffic, weather, operational issues, supplier delays, or circumstances beyond our reasonable control. In such cases, we will try to keep you informed and arrange an alternative time where appropriate.

You are responsible for ensuring that the site is ready for the service to begin on arrival. This includes access to the property, safe working conditions, and any permissions needed from landlords, managing agents, neighbours, or third parties. If we are unable to carry out the service because access is denied, conditions are unsafe, or the site is unprepared, additional charges may apply.

Payments and pricing

All fees must be paid in accordance with the price agreed at the time of booking or as set out in our quotation or invoice. Unless otherwise stated, prices are exclusive of VAT and any applicable taxes, charges, or third-party costs. We reserve the right to amend pricing where there is a change in the scope of work, additional labour, extra materials, or non-standard requirements that were not included in the original agreement.

Where a deposit is required, the booking may not be secured until the deposit has cleared. Deposits are generally applied against the final invoice unless otherwise stated. In some cases, a service may require full payment in advance, particularly where materials, specialist labour, or waste handling costs must be committed before attendance. Any payment terms communicated to you at the time of booking will form part of the agreement.

Invoices are payable by the due date shown on the invoice. If payment is late, we may suspend further work, withhold delivery of completed items where lawful, or charge reasonable costs associated with recovery of the debt. We may also charge interest on overdue sums at the statutory rate or another lawful rate permitted under applicable UK legislation. Any disputed invoice item must be raised promptly and in good faith.

Changes, rescheduling, and cancellations

If you need to change or cancel a booking, you must notify us as soon as possible. Cancellation rights and any charges will depend on the timing of the notice, the type of service, and whether materials, labour, or third-party commitments have already been arranged. If the cancellation is made after preparation has begun, reasonable costs already incurred may be charged to you.

Waste handling and compliance section in service termsWhere a service is cancelled by you at short notice, we may charge a cancellation fee to cover lost time, planning costs, reserved resources, or non-refundable expenses. If you fail to provide access, are not present where required, or otherwise prevent the service from being completed, the event may be treated as a late cancellation or failed appointment. Rebooking may be offered at our discretion and may be subject to additional cost.

We may also cancel or reschedule a booking where necessary for safety, compliance, staffing, weather conditions, equipment failure, force majeure, or any reason outside our reasonable control. If we cancel and the service has not yet been delivered, we will either offer an alternative date or refund any prepaid amount for the undelivered portion, unless the cancellation results from your breach of these terms.

Service standards and customer responsibilities

We will carry out the services with reasonable skill and care and in line with any agreed specifications. You agree to cooperate with us before, during, and after the service, including by providing access, accurate information, and any documents or approvals that may be required. If your instructions conflict with our professional judgment, safety requirements, or legal obligations, we may decline to proceed with the affected part of the work.

You are responsible for removing or securing valuables, fragile items, confidential documents, and any personal belongings that could be affected by the service. Unless we have agreed otherwise in writing, we are not responsible for pre-existing faults, hidden defects, poor maintenance, unsuitable surfaces, or issues arising from conditions that could not reasonably be identified before work began.

Waste regulations

Where the service generates waste, it will be handled in accordance with applicable UK waste laws, environmental rules, and duty of care requirements. You agree to provide accurate information about the nature of any waste, including whether it may be hazardous, contaminated, electrical, recyclable, or subject to special handling. We may refuse to collect or remove waste that has not been disclosed correctly or that cannot be managed safely and lawfully.

Unless stated otherwise, waste removal charges are separate from the core service fee. Waste may be transported, stored, transferred, recycled, or disposed of by us or by an authorised third party in line with legal requirements. We may issue waste transfer information, receipts, or other documentation where required. Any waste left on site, handed over unlawfully, or misclassified by you may result in additional costs, delays, or refusal to continue the service.

You must not place prohibited items, controlled substances, unsafe materials, or undeclared hazardous waste into any waste stream connected with the service. If such items are discovered, we may stop work, isolate the material, and notify the relevant parties if required by law. Any extra handling, licensing, protective equipment, or specialist disposal caused by incorrect information may be charged to you.

Governing law and liability terms for UK servicesLiability

Nothing in these service terms and conditions limits or excludes liability where it would be unlawful to do so, including liability for death or personal injury caused by negligence, fraud, or fraudulent misrepresentation. Subject to that, we are not liable for indirect, special, or consequential losses, or for loss of profit, loss of business, loss of goodwill, or loss of opportunity arising from the service or from any delay, cancellation, or failure to perform.

Our total liability to you for any claim arising out of or in connection with the service, whether in contract, tort, misrepresentation, or otherwise, shall be limited to the total amount paid or payable for the specific service giving rise to the claim, unless a higher limit is required by law. We do not accept responsibility for loss or damage caused by events outside our control, including acts of third parties, utility failures, severe weather, or site conditions that were not disclosed to us.

Any claim relating to damage, shortage, or poor performance must be reported within a reasonable time after the issue becomes apparent, and you must give us a fair opportunity to inspect, investigate, and where appropriate rectify the matter. You must take reasonable steps to reduce any loss. We will not be liable for issues that arise because instructions were incomplete, inaccurate, or changed without our agreement.

Termination and suspension

We may suspend or end a booking or ongoing service if you fail to pay on time, breach these terms, refuse reasonable instructions needed for safety or compliance, or behave in a way that makes it unreasonable for us to continue. If termination occurs due to your breach, you may still be responsible for amounts due for work already completed, materials ordered, waste handling, and any unavoidable costs incurred before termination.

We may also update these terms from time to time. The version in force at the time of your booking will apply to that booking unless a later written variation has been agreed. Any updates will not usually affect services already booked unless required for legal, operational, or safety reasons.

Data, communications, and records

We may keep records of bookings, payments, instructions, service notes, and related communications for operational, legal, and accounting purposes. By making a booking, you agree that we may contact you in connection with the service, including to confirm attendance, discuss access, issue invoices, or handle post-service matters. We will use personal information in accordance with applicable data protection law and only as needed to manage the service relationship.

Governing law

These UK service terms and any dispute or claim arising from them shall be governed by and interpreted in accordance with the laws of England and Wales, unless we agree in writing that another UK legal system applies. The courts with appropriate jurisdiction in that legal system shall have exclusive authority to resolve disputes, subject to any mandatory rights you may have under applicable consumer or business law.

Nothing in these terms affects any rights that cannot legally be excluded or limited. If you are acting as a consumer, you may have statutory rights under UK consumer legislation that apply in addition to these terms. If you are acting as a business, you confirm that you have authority to enter into the booking and that you understand the commercial basis on which the service is supplied.

General provisions

If any provision of these service terms and conditions is found invalid or unenforceable, that provision shall be treated as removed to the minimum extent necessary, and the rest of the terms will continue in full force. No delay or failure by us to enforce a right shall be treated as a waiver of that right. Any variation to these terms must be agreed in writing.

These terms form the full agreement between the parties in relation to the service, unless a separate signed contract states otherwise. By proceeding with a booking, you confirm that you have read, understood, and accepted the terms set out above, including the booking process, payment obligations, cancellation rules, liability limits, waste regulations, and governing law.
